How do I create a profile?

It’s easy. Simply sign in, and fill in all the essential information.

Your profile can’t go live on the system until you’ve completed all the seven essential data fields. That’s to make sure we have the minimum information we need to allow you to book sessions, and collect payments.

You’ll find the essential data points in the top right hand corner of the home screen. When you complete the 7 of 7, your profile is ready to publish.

But don’t stop there! Make sure you put as much detail as you can in your profile to help win over those new clients searching for a trainer! That includes all the data requested in settings, as well as under the ‘See Profile’ tab.

Why do I have to give my phone number?

You are unique, and so is your phone number.

We use your phone number as your unique identifier and to avoid fake profiles. All your data is assigned to your number so you can keep all your data, even when you upgrade your phone.

When do I get paid?

Session fees are collected from clients after delivery of the service and once you mark the session as complete. We will batch payments to you (and your gym if you have nominated an arrangement) into weekly payments directly into your account.

You can keep track of your weekly earnings on the earnings page. This page shows the total session values delivered and is subject only to your nominated arrangement with your gym.   

Packages fees are collected from the client upfront and batched in full into the next weekly payments to you. 

Plans fees are collected from the client either weekly, or fortnightly (as you have chosen) and batched into the next weekly payment to you.

What is the cancellation policy?

Fitii offers two cancellation policy options. ‘Normal’ which allows cancelations up to two hours before your session, or ‘Strict’, which allows cancellations up to 24 hours before the scheduled session.

Once you have made a selection, if a client proposes to cancel their session outside of your allowed cancellation policy times, they will be charged the full session rate for the cancelled session. 

So when that client messages at 5.50am saying they are too tired to attend their 6am session, you get paid. That often awkward or uncomfortable conversation becomes much easier when your cancelation policy is enforced automatically.

What about if you need to cancel a session or the entire day?

No worries, we have that covered! 

You can cancel a session at any time! Simply decide if you want to entirely cancel the session, or reschedule it for another day or time. 

We will then notify your clients in app via a totally customisable notification. 

If you cancel the session, your client won’t be charged. 

At Fitii, we also understand that life happens. Sometimes, you need to cancel an entire day’s sessions.  Easily cancel your entire day’s sessions by going to the calendar screen within the Fitii app, tap the menu icon in the top right corner (three dots) and select ‘Cancel Today’s Sessions’. Customise your client’s notification and you’re done! Simple.

What are my insurance obligations?

You should ensure that you hold current, relevant and valid policies of insurance to cover you, your clients and where relevant, your employees for services delivered or sold via the platform. 

You should read clause 18 Insurances and clause 7 Trainer Obligations of the Fitii Terms and Conditions to ensure you comply with your obligations. 

Fitii does not review or check insurance compliance, so you must make sure you meet your obligations. 

Its free!? What’s the catch?

No catch, Fitii PT is free for trainers and gyms to use. 

Even credit card processing and merchant fees are covered by Fitii and are not passed onto gyms or trainers who use the Fitii PT platform. 

Why? Well, we believe that you work too hard to have another company trying to put their hands in your pockets. That is why Fitii is all about helping fitness business make and retain more! That is, and always will be our focus.

Your clients however will notice a slight increase in your session rates. That is because, to cover credit card processing and merchant fees, as well as to keep our platform free for you to use, Fitii does add a 5% service fee to your rates. Our service fee is included in the final retail price shown on the client-facing app.

What about deductions?

Fitii PT is all about taking less from you, and putting more back into your pocket! That’s why our fee structure does not deduct anything from your session rates. No deductions for fees for us, subscriptions, credit card fees, or merchant fees. 

Naturally, if there is an arrangement between gyms and trainers formalised within the platform, we will distribute your session rates in accordance with that arrangement. See the section titled “What about fees or rents between trainers and gyms?” below. This is not a deduction, but an alternative fee distribution directive from you. 

If you are registered for GST you will need to ensure you comply with your obligations under the GST law. The rates you set in the platform must be inclusive of GST, if required.

When does Fitii get paid its service fee?

At the same time as you! We want you to know that we are in this together, so we don’t get paid our service fee until you become entitled to your session fee. 

What is the service fee for?

Our aim is to keep our platform free for trainers and gyms to use, forever! Our service fee is used to run and maintain our platform, to invest into new features and ensure you never have to pay a subscription fee. 

Also, we pay credit card processing and transaction fees from our service fee. Fitii lets you ditch the high priced gym software and credit card terminal fees!

What about fees or rents between trainers and gyms?

In the fitness industry, there is no such thing as one size fits all! That’s why we let you customise your arrangements.

If you employ a number of personal trainers, Fitii lets your employee trainers sign up to their free profile. When sessions are delivered, the fee is paid directly to the employer. 

If you are a contractor that pays a percentage or fee per session to your host gym, Fitii takes care of that too. Simply input your arrangement into the app, once confirmed by the other party, Fitii will apportion and pay the session fees as you’ve directed.

We also cover independent businesses. If you run an independent business, or your have a different arrangement with your host gym, Fitii will pay 100% of the session fees to the trainer. You can then deal with your different arrangements outside of the platform. If you pay a monthly or weekly rental to your host gym, this is the option for you.

So whether you have employee, independent or contractor trainers, Fitii has a solution for you. 

What happens to refunds?

We try to avoid refunds where we can to avoid the associated fees. That’s why fees are collected after a session is delivered. 

Sometimes refunds are unavoidable, in that instance have a read of clause 13 Refunds of the Terms and Conditions. When offering or delivering sessions you should always ensure that you comply with your obligations under the Australian Consumer Law. 

What are my obligations?

There are a few. You should read through our Fitii User Agreement to fully understand the obligations on you as a trainer.  Specifically, clause 7 Trainer Obligations. 

Some of the fundamentals are:

  1. Maintain insurances;
  2. Hold and maintain qualifications;
  3. Have the right to live and work in Australia;
  4. Be truthful, fair and honest in your dealings with or through the platform; and
  5. Comply with the Fitii Terms and Conditions.

Can Fitii Do….?

Fitii does a lot! But we plan to keep adding features!

    Can I offer Discounts?

    Of course! It’s your business and you can offer your services in the way that suits you best.

    Fitii lets you set default rates for your sessions. However, it also allows you to offer discount or special arrangements to individual clients, for packages, clauses or groups! You’re in control.

    Discounts can be applied when you are finalising a session request, or when you create group sessions, plans or packages.

      What if I want to cover the service fee in my session rates?

      That’s totally up to you. Fitii defaults to charging our service fee to clients, by adding it to your rates. When finalising any booking or offer, the final retail price will be shown down the bottom. You can totally customise your rates to allow for the final retail price (including our service fee) to be whatever you like.

        How do I offer Group Sessions?

        You can create private or public group sessions in Fitii. This can be done in a few places within the platform, including at the home screen by pressing “Add Session”, or in the calendar, by pressing on the time you like and selecting ‘Group Session”.

        Group sessions can be private, meaning you get to invite any two or more clients who are already connected. This is ideal for small groups.

        Group sessions (classes) can also be public. This is ideal for pay per visit classes or session you conduct in a public place. Public group classes/sessions are visible on the client app for any one to see and can easily be shared on Facebook to promote your class!

        You can even create a chat group right on the app and chat to your entire group at once! 

          Can I run a public session in a public place?

          You sure can! Naturally, you need to comply with any local government obligations for offering classes in public spaces, but Fitii allows you to create group sessions (classes) in the app.

          Public group classes/sessions are visible on the client app for anyone to see and can easily be shared on Facebook to promote your class!

          No more collecting cash at the start of your session, all your class participants can book and pay on the Fitii platform, and show up ready to train!

          You can even create a chat group right on the app and chat to your entire group at once!

            How do I control my diary?

            The best and most unique feature of Fitii is our real time calendar. 

            Gone are the clunky app calendars that make the booking experience feel like taking a number at the supermarket. 

            In Settings> Calendar Set Up> Available Time, you can customise and control your default working hours and break times. If your hours aren’t consistent every day, Advance mode allows you to tailor each day’s hours individually. Allowing you more control of your diary.

            Customisation is the key with Fitii. So, to give you more control over your calendar and availability, imported calendar events are not automatically shown as unavailable to client inn your Fitii calendar. 

            You get to choose which appointments, events or even entire days to block out from within the calendar itself. Just simply touch on your imported calendar event, or create a new one by touching and holding the time and selecting ‘Calendar Event’. Once created, you can touch on any event, and set the time as ‘Unavailable’ in your Fitii calendar.

              What detail do clients see in my Real Time calendar?

              Don’t worry, your client’s don’t get to see what your calendar events say. Your 2pm dentist appointment stays private!
              Clients will see your blocked out calendar events, lunch break or out of hours simply as ‘Unavailable’ and they will be shaded grey. 
              Any session booked through Fitii with show up as a “Fitii Session” and will be colour coded based on the session duration.
              Any other calendar event won’t show in the client view of your calendar at all, unless you mark the time as unavailable.

              What are my privacy rights?

              What about taxes, invoicing and accounting?

              First up, its important that you have a read of clause 14 – Taxes and Tax Invoices of the Fitii Terms and Conditions. This clause sets out some important obligations regarding GST, taxes and tax invoices. 

              Naturally, it’s your obligation to make sure you comply with all applicable tax laws. Clients are, as always, entitled to ask you for a tax invoices for your fees. You should prepare and issue tax invoices in the usual way.

              What is the cancellation policy?

              Your trainer may have their cancellation policy set on either ‘Normal’ or ‘Strict’.  ‘Normal’ allows cancelations up to two hours before your session, and ‘Strict’, allows cancellations up to 24 hours before the scheduled session.

              You should ask your Trainer what their policy is.

              If you propose to cancel your session outside of the allowed cancellation policy times, you will be charged the full session rate for the cancelled session.

              If a trainer cancels your session, you will not be charged, even if it is cancelled less than the minimum time before the session.

               

              Are the personal trainers fully qualified?

              All trainers are obligated to maintain the requisite qualifications or accreditations to deliver the sessions they offer. 

              Trainer can display their qualifications in their Trainer profiles. But don’t be shy to ask your trainer what qualifications they have, and if they are up to date. 

              It is the Trainers obligation to comply with their obligations at law, pursuant to the Fitii Terms and Conditions and be fair and honest in their dealings on the platform. Fitii doesn’t review uploaded qualifications or qualification claims on a Trainer’s profile nor does it warrant that any claims or documents are true and correct.

              Do my sessions have to be held in a Gym or Fitness Studio?

              Sessions may be held in agreement with your trainer, either gym or fitness studio, private location or a public space. The trainer must have permission or authority to deliver your session in the facility or location that they use.

              A trainer’s profile may show that they deliver sessions in a number of locations, including parks and public spaces. If you’re unsure which is the location where your session is to be conducted, just message your trainer in the platform to confirm… Just to be sure.

              How do the Sessions work for me?

              One-to-one sessions can vary in length as either 30, 45 or 60 minute sessions. Some trainers offer all, or some of these options. 

              Trainers can also do semi-private sessions (small groups or pairs) perfect for you and your gym buddy like to train together! If you’d like to team up with others to do a semi-private session, just message your trainer, who can sent you’re an invite though the app!

              Are the Personal Trainers/Gyms insured? 


              The Personal trainers/Gyms both are to hold current, relevant and valid policies of insurance.
